The same post is seen by a visitor in a matchday week, a student at the start of term, a family in the Nordstadt and a buyer near the port, and each of them expects a different answer from your profile. This guide does not repeat the summary on the page above; it follows the order of decisions: who you write for, in which language, on which platform and under which rules.

The moments when people in Dortmund look at your profile

In Dortmund the audience is less a population figure than a series of decision moments. Destatis counted 603,462 residents at the end of 2024, and the people who open your profile fall into five situations.

  • Event week: someone traveling to a match, a fair or a concert looks for food, a room and directions, often on the same day, so hours and route must be ready a week ahead.
  • Start of term: a newcomer searches the neighborhood for a barber, a cafe, a course or a photo studio and saves what looks trustworthy.
  • Neighborhood need: for a nearby doctor, craftsperson or shop, people open the phone and the map, and your profile becomes a trust check.
  • Community evening: a Turkish speaking family looks at whether the account writes in their language and answers on WhatsApp.
  • Business decision: a buyer or applicant looks up team and process on LinkedIn before getting in touch.

Before you plan anything, reduce the purpose of the profile to one sentence: "This profile speaks to families in Hörde who read German" or "This profile explains our process to buyers around the port." If the sentence will not come, planning is too early; language, platform and shot list follow from it.

Test the sentence against your own customer records: where did your last ten customers come from, in which language did they write and how did they find you? That short list is more reliable than any assumption, and it is the first thing we ask in the opening call.

Which platform suits which business in Dortmund

The right platform is the one where your audience decides, not the one with the most users. In Dortmund the practical pairings look like this.

  • Instagram: the main shop window for cafes, restaurants, barbers, studios, hotels and clubs; Reels for discovery, Stories for day to day information, Highlights for permanent facts.
  • TikTok: for businesses that can show a process or a product in a short video and want to reach a young, curious audience.

A platform that cannot be fed regularly does not fit. Three half tended accounts look weaker than one account tended steadily. Start with two channels, add the third once the rhythm holds, and check after three months what each one brought.

Two examples: a physiotherapy practice in Aplerbeck can do well with Instagram Stories and a well kept Google profile, while a hotel near the Westfalenhallen puts weight on Instagram, its Google profile and short English copy. A freight company near the port starts with LinkedIn and adds a second channel only if a need appears.

A local content calendar: seasons, match weeks and district stories

The Dortmund calendar has three layers: the yearly rhythm of the city, event weeks and the daily life of your own district. Write your own rhythm first and add the waves that come from outside; a calendar for social media management Dortmund built in that order keeps the account full in the quiet weeks too.

The yearly rhythm includes the football fixture list, the fairs at the Westfalenhallen, the ExtraSchicht night on a Saturday in June (venues such as the Dortmunder U, the football museum and Zeche Zollern take part), walks around the Phoenix See in Hörde in summer and, from November, the year end season that opens with the lighting of the 45 meter Christmas tree.   3. Reserve two district stories per month: a craftsperson, a street, a customer memory.
  4. List the days when your opening hours change right at the start.
  5. Update the calendar in the last week of each month.

Do not make claims about events in your content: about a fair or a match, write only what your business offers that day, the hours and the route.

Producing content while the team is online: shot lists, templates and approvals

With remote management you or someone you choose does the filming, and everything else is prepared in writing beforehand. We have no team in Dortmund; we build the process around that fact and never present a frame as if a local crew had shot it.

The shot list names the frames one phone can capture in an afternoon: the opening moment, the daily special, the counter, a face from the team, a close up of the product in hand, the shop window and a door shot that shows the way in. For every frame it gives the format (vertical video, square, horizontal) and an approximate length, so you do not have to decide while shooting.

If you hire a photographer, the agreement is between you and them; get the usage rights in writing. If people appear in the footage, have the consent form signed the same day so you do not have to chase it later.

Three template sizes are enough: a vertical video cover, a square announcement background and a Story frame, set once with fixed colors and type.

Community management: comments, messages and the handoff to WhatsApp

A good reply routine brings in more customers than a beautiful post, because the decision is often made in the message. First the reply time is promised, then the routine is written down.

  • Comments: a thank you, an answer to the question and a short follow up question; German comments get German replies, Turkish comments get Turkish replies.
  • Messages: draft replies are prepared for frequent questions such as opening hours, address and appointments, and you approve them.
  • Handoff: price, appointments and special requests move to WhatsApp or the phone; we offer the handoff politely and in writing on the account.
  • Harsh comments: no hurry, make the case concrete and move the solution to a private channel.

On matchday evenings or in fair weeks the volume of messages grows. For those days we agree in writing who answers in which time window; Dortmund is one hour behind Turkey in summer and two in winter, so the windows are built around your business hours.

In social media management Dortmund projects the reply routine is tied to a weekly check: look at last week's frequent questions, update the draft replies and turn some questions into content. If you answer the same question three times, put the fourth answer into a Story Highlight. Google Business Profile and local reviews in Dortmund

On a map search people look at hours, photos and reviews, which is why the Google Business Profile belongs in the social media plan. According to Google's help pages, a profile can carry posts of the types "update", "offer" and "event".

  • Basics: name, address, phone and hours must be identical on the website, on Instagram and in the profile; no keywords are added to the name.
  • Special hours: enter matchday, fair week and holiday hours in advance.
  • Posts: publish the short announcement from social media in the profile too, with one clear action per post.
  • Photos: keep entrance, counter and team frames current.
  • Reviews: reply in the language of the review, briefly and concretely.

The proper way to ask for a review is to offer the link to a satisfied customer at the till or in a message. We do not collect reviews in return for discounts or gifts, and we never buy them; that breaks platform rules and competition rules alike.

Name districts only where you really serve customers: Hörde, the Kreuzviertel or Brackel work in search and tag language, but tagging a district you do not serve costs trust. Dortmund has twelve city districts, and knowing which one you work in is the first step to writing the copy for it.

Languages: when to post in German, English or Turkish

German is the main language; in Dortmund public bodies, neighbors and most customers read German. English and Turkish are added as separate lines, not as translations.

  • German: the first language for neighborhood businesses, clubs, doctors, craftspeople and everyone with local customers.
  • English: short copy and headlines for hotels, restaurants, event venues, fair visitors and businesses aiming at international students or staff.
  • Turkish: a separate line for barbers, butchers, travel, insurance, real estate and service businesses whose customers prefer Turkish.

Dortmund's statistics office counted 20,440 people with Turkish citizenship on 31 December 2025. That number shows citizenship only; it does not include Turkish speaking families with a German passport. So set your target from your own customer records, not from the number: how many customers write in Turkish, at what time and what do they ask?

If you mix languages, keep the rule simple: the headline in one language, the caption in the same language, the second language in its own post. Putting three languages side by side in one post hurts readability. On the Turkish line, write only what the Turkish speaking community really asks: hours, regional product information that fits your business, the appointment and WhatsApp route.

Sector examples that fit Dortmund

Keep a "we do not publish" list per sector: a cafe, for example, shows itself through product and team, not through contests or political arguments. If it is clear from the start what will not be published, approvals get faster.

Use the names of clubs, brands and events only to give information, without imitating the rights holder's marks. In Dortmund football enters every conversation, but a business account should not look like the club's official account; it should connect to the fan mood only through its own service.

Working with local creators and the labeling rules in Germany

A post made in return for payment, products or another benefit must be clearly recognizable as advertising in Germany. The basis is section 5a of the UWG, the law against unfair competition, and the labeling guide for online media published by the Medienanstalten, which asks that advertising be easy to recognize and clearly separated from editorial content.

  • Visible label: the word "Werbung" must be visible at the start of the post or inside the video, and again on every Story frame.
  • Platform tool: we use the paid partnership label on Instagram and Facebook together with the visible wording, not instead of it.
  • Written agreement: content, usage period, label and approval step belong in the contract.
  • Small creators: small accounts in Dortmund often work for a product or a service in return, and that also needs a label.

Buying followers, likes or comments and joining engagement groups break platform rules, and we never suggest them in any collaboration. The collaboration itself belongs to influencer marketing.

When choosing a creator, look at the real link between the account and the Dortmund audience, not at the follower count: are the comments local, are the questions about your topic, did earlier collaborations carry a label? A small trial post comes before a big contract. For images of people, music and logos the rule is simple: without permission, no publication. For a final legal reading ask your lawyer; the points below are only the ones we check in the social media workflow.

  • Images of people: under section 22 of the KUG a picture may be shared only with the consent of the person shown, and data protection rules (DSGVO) apply on top. Get consent in writing and note that it can be withdrawn.
  • Children: at a club or football school, written parental consent is needed before publishing; a frame without it does not enter the calendar.
  • Music: Meta's music guidelines can limit the use of library music on business accounts; for commercial accounts we choose licensed music.
  • Logos and broadcast images: club crests, match broadcast frames and stadium photographs have rights holders; use only your own footage.
  • Imprint: for profiles used commercially, an easily reachable imprint is expected under section 5 of the DDG; usually the bio links to the imprint page of your website.

This list works as a checklist before every publication. If something is missing, the post waits.

Measurement and the monthly report without promising results

The monthly report shows which content was saved, shared and turned into messages; we do not predict how many people will come. The purpose of the report is to simplify next month's plan.

  1. Put a UTM link in the bio so you can see which post sent a website visit.
  2. Record profile visits, route requests, calls and messages separately.
  3. Match inquiries from messages with your own records: how many became appointments?
  4. Look at saves and shares; more than likes, they tell why a piece of content worked.
  5. Carry at least two and at most three formats into next month and drop the rest.

When you notice a mistake, do not delete in a hurry; first write down what happened, correct it and, if needed, add a short and clear note. A calm correction usually draws less attention than the mistake itself.

There is also an invisible mistake: old opening hours left in the profile. A line "check the details" in the monthly calendar almost removes it.
